How this project status report builder works

A useful project status report is not just a progress memo. It turns scattered project notes into a repeatable operating document: what changed this period, what remains on the critical path, what decisions are blocked, and whether schedule, budget, or risk needs attention. This builder keeps the report short enough for email but structured enough for a client file, sponsor review, or weekly meeting agenda.

The tool runs entirely in the browser. Start with the project header, then add milestones, accomplishments, next steps, risks, and decisions. The live summary calculates health signals and the audit checklist tells you what still needs attention before you copy, export, or print the report.

Formula and assumptions

The automatic health score uses practical project-management thresholds that are easy for small teams to explain:

  • Schedule slip days: forecast end date minus baseline end date, floored at zero.
  • Budget variance: actual or committed spend minus planned budget. Variance percent is variance divided by planned budget.
  • Schedule health: Green for 0 slip days, Amber for 1–14 slip days, Red for more than 14 days.
  • Budget health: Green when under budget or up to 5% over, Amber when up to 15% over, Red above 15% over.
  • Risk health: Red if any open High risk exists, Amber if any open Medium risk exists, otherwise Green.
  • Overall health: the worst active signal unless you manually override the status.

These thresholds are operational guides, not contractual advice. If your client contract defines different status thresholds, use the manual status override and document the reason in the executive summary.

DocumentWhen to use itWhat it should answer
Project status reportWeekly, biweekly, or monthly during delivery. Are we healthy, what changed, what is next, and what decisions are needed?
Statement of workBefore work starts or when a new engagement is approved. What scope, deliverables, dates, and payment terms did both sides agree to?
Change orderWhen status reporting reveals approved scope, budget, or schedule change. What changed, how much does it cost, and how does the timeline move?
Work orderWhen assigning a crew or operator to perform specific work. What task is authorized, where, by whom, and with what materials?
Daily construction reportEvery day on a job site or field project. What actually happened today: labor, weather, work performed, delays, and safety?

What to include in a weekly client status update

  • One plain-English executive summary that says whether the project is healthy and why.
  • Milestone table with due dates, owners, status, and notes for blocked or deferred items.
  • Accomplishments that describe completed work in business terms, not just internal activity.
  • Next steps with owners and dates so the report doubles as the next operating plan.
  • Risks and issues that need mitigation, including open High risks even if the rest of the report is green.
  • Decisions needed with a clear decider and needed-by date, because unanswered decisions are one of the most common causes of schedule slip.
  • Budget and schedule signals that are transparent enough for finance, founders, or client sponsors to trust.

Example use cases

  • Freelance web project: Send a Friday update with completed design work, launch blockers, and content decisions due next week.
  • Marketing campaign: Report creative milestones, budget committed, vendor dependencies, and launch-readiness risks.
  • Internal operations project: Keep leadership aligned on phase, schedule slip, owner decisions, and capacity constraints.
  • Professional services engagement: Pair weekly status reports with a statement of work and change orders whenever scope changes.

Frequently asked questions

What should a weekly project status report include?
A good weekly status report includes the reporting period, overall health, executive summary, milestones, accomplishments, next steps, schedule and budget signals, risks, issues, decisions needed, and owners for follow-up work.
How does this builder decide green, amber, or red status?
Auto status reviews schedule slip days, budget variance percentage, and open risk severity. The overall health uses the worst active signal so a High open risk can make the report red even when schedule and budget are still healthy.
When should I override the automatic status?
Override status when your client contract uses different thresholds, when an executive sponsor has already accepted a known risk, or when a qualitative issue is more important than the numeric schedule or budget signals.
Does this tool store client project data online?
No. The tool runs in your browser. The save-draft action uses your browser localStorage only. You can reset the form to clear the saved draft from this browser.
